EasyRoute Plus integrates dispatching, routing, invoicing, billing, customer accounting, marketing, and sales or labor analysis into one easy to use software program.

 

To use the program, first set up City, Job, and Employee codes using Alt-C, then use the F4 key to create and lookup customers. With the customer’s profile on the screen, add, edit, complete, bill, and enter payments. Use Calendar F9 to see your currently scheduled work. From Calendar, print work orders or routes, edit dates, times, and assigned workers, and batch complete jobs. Use Accounts Receivable’s Batch Billing to batch-bill customers, use Activity Reports to detail sales and labor efforts and calculate commissions, use Query Based Output to locate and output data based on customer transaction history, etc. Refer to Help (F10) where needed.

Hot Key                          What It Does

 

Alt-Codes                   Alt C allows you to set up and maintain codes and descriptions for Cities, Jobs, and Employees. These codes are used throughout EasyRoute Plus. You create your own set of City, Job, and Employee codes specifically for your business. Press Alt and C simultaneously wherever Alt C appears at the bottom of a screen.

 

F4 Cust                            This feature locates or creates a Cust profile. You create a Cust profile by looking for and then not finding a Cust. This prevents creating two Custs for the same site. Press F4 wherever F4 appears at the bottom of a screen.

 

                                             Each Cust profile contains customer name, phone number, work address, bill name and address, comments about the work site, etc., and a scrollable transaction window.

 

                                             Using the features displayed at the bottom of the screen, you can add or modify transactions that appear within the scrollable transaction window. When you input appointments, jobs, payments, and billings, they automatically become a running history for each work site.

 

F9 Calendar                  Powerful calendar reads each Cust, and details all your scheduled appointments, service calls, or tasks. Week and Day levels help you to decide which date, time, and worker to assign to an incoming job or appointment. You can move appointments, print work orders and route invoices, and complete appointments from Calendar. To view Calendar, press F9 wherever F9 appears at the bottom of a screen.

 

Help                                  Wherever you are in EasyRoute Plus, you can get context-sensitive help. Now, you can get the answers you need without interrupting whatever you’re doing. If you need help, just press F10, then press Esc when you are done viewing Help.

Cust Profile (F4) Features

 


A         Add Scheduled Jobs (automatically updates Calendar)

 

E          Edit

                        Cust Profile Data (name, address, etc.) or

                        Scheduled Job’s (date, time, Job Code, comments, amount, salesperson, commission, worker)

 

D         Delete Transaction(s) (also reverses the effect of the transaction)

 

C         Complete Scheduled Job(s) (automatically updates Calendar)

 

 

B          Bill Cust (use the settings to determine what will print on the bill)

 

P          Payment/Credit (can be applied to individual debit transactions, applied to oldest first, or saved)

 

T          Telephone (dials the Cust through your modem)

 

N         No Job (mark Last No Date field with today’s date)

 

L          Ledger (Cust history printout)

 

M        Make (a new Cust profile using the Bill To of the current Cust)

 

H         Hold Activity (prevents activity unless you say it is ok)

 

U         Unhold (takes a Cust off of Hold)

 

V         View Cust Profile/Transactions

 

            Remove Cust

 

F1        Frequency Templates (recurring jobs that do not have exact repeat dates)

                        Create/View (F1)

                                    Add Job(s)

Frequency Templates store “seasonal” work that has no exact schedule date. You can manipulate and control the jobs in the templates by pressing F1 at a Cust.

F2        Maintenance Templates (recurring jobs that have exact repeat dates)

                                    Weeks and/or Months Templates (PgDn/PgUp = Next/Prev template)

Maintenance Templates store recurring work that has exact schedule dates, such as “weekly, every Wednesday at 9 AM,” or “monthly, on the 15th,” or “the third Thursday of every third month.” Maintenance templates can be used to automate complex contract work, and are accessed by pressing F2 at a Cust.

The Main Menu appears after you input your user name and password. It is also the only place you can leave EasyRoute Plus.

Queries are filters you create that allow you to search your database of customers and transactions in a variety of powerful ways, and then output the results in one of five different ways. The programs at Query Based Output give you control over the creation and management of queries.

Frequency Job Routing helps you find, choose, and batch-schedule jobs placed in Frequency Templates (at the Cust level). Using these three programs, you locate, select and schedule fuzzy seasonal work.

The programs in Accounts Receivable help you view your receivables, print aging reports, maintain billing texts (4 texts you create that print on bills), and batch bill.

Activity Reports help you organize and print reports that summarize or detail transaction activity. The report can be configured in a variety of ways, complete with totals and counts for each service or product. Use Activity Reports daily to itemize all new customers scheduled, payments received, and bills printed. Or, use it to calculate sales commissions, wages, and sales volume or labor production for each salesperson or worker.

Main Menu Option F can be set to run any executable program. As the default, the EasyRoute Plus User Manual displays when F is pressed at the Main Menu.

ALT C

 

You create City codes and descriptions to speed data entry, saving time by reducing keystrokes. Create a City code for each city you work in, and then create Custs for each work site within that city. When you need to access the list of valid City codes, press Alt C anywhere Alt C is displayed at the bottom of the screen. You can add, edit, delete, print, and find City codes.

Job Codes

You create Job codes to speed data entry. There are two kinds of Job codes, Service, and Unit. Service Job codes are used when you need to allocate a duration for the job, or when you need to itemize a procedure. Unit Job codes are used to track inventory, maintain quantities on-hand, and calculate unit values (hours, parts, gallons, pounds, etc.).

Employee Codes

You create Employee codes to speed data entry. Create an Employee code for each salesperson and each worker. When you schedule appointments, use the employee code of the salesperson in the Sls field, and the employee code of the worker in the Wkr field. This allows you to schedule, route, and dispatch work using these codes. You’ll also be able to print reports sorted by salesperson and/or worker for sales and labor analysis.
