What is EasyRoute Plus?
EasyRoute Plus
is an integrated, easy to use legacy text-based application
developed for service businesses. It is stable, robust and loved by
many people with service businesses who rely on it for daily operations.
It
can save you time and money by managing your customer info, routes,
invoices, work orders, bills, statements, accounts receivable, aging,
payments and comments about jobs, all in one easy to use application
that anyone can quickly learn.
In fact, EasyRoute Plus
can be the hub of your customer management system because it allows you
to capture data and make decisions in a real-time environment, ending
the pileup of unprocessed data or paperwork. This increase in
efficiency can substantially add to your bottom line. - You can use this program to:

containing customer name, address, bill name, bill address, phone

Problem: -
You need quick access to your customer's files, transactions, invoices,
bills, comments, etc. so you can schedule appointments, answer
customer's questions about their account, print work orders or
invoices, bill customers, call overdue accounts, confirm appointments,
track accounts receivable and print statements and reports about
everything that happened. Do you use a bunch of separate programs, or a
part-paper system?.
Here's how the above problem gets solved:- Using EasyRoute Plus,
you can quickly locate and display a customer file and its transactions
because you can easily locate customers using a phone number,
name, address, bill name, bill address, almost anything. Just imagine being able to
see all the customer's transactions before they finish telling you
who they are!
Here's how......
Once you've got the customer's file on the screen, you can see (and
change) any information you've collected for that customer, including a
10-line scrollable window containing chronologically sorted
transactions related to that job site.
You
can create and edit invoices, set up repeating invoices (templates),
complete jobs, make payments or credits, print bills, print the
customer's data and transaction history, delete transactions, and even
remove the customer completely, all from one screen! Don't let the apparent simplicity of EasyRoute Plus
fool you -- it's packed with features that go way beyond its first
impression. For example, the way it uses Job Codes. Job Codes are
codes you use to type a bunch of pre-recorded keystrokes using a single
key. Imagine having to type "Clean the carpets in the family room" over
and over each time you wanted to schedule that job for a customer.
Sooner or later, you'd mis-spell something, or develop carpal tunnel
syndrome from typing so much.
An example:
This software allows you to "coin a phrase" by creating job "codes"
that contain all the details. A good example of a job code is when the
waiter writes BLT when you order a bacon, lettuce and tomato sandwich.
Would you rather write (or type) three letters or twenty nine letters?
You
can assign a Job Code to any service, product, item, action to take,
action taken, time duration, inventory item, serial number, person,
place or thing. The code is 12 letters (or numbers) but the code's
description is unlimited in size. This means you can attach checklists, procedures to follow, whatever.
When
you use a Job Code within a scheduled appointment at the customer
level, you can use an additional 800 characters of comment space about
the special conditions that exist for just this one service at a
particular work site. All this can be put into a template of repeating
jobs for the customer's site so you'll never have to type it again! EasyRoute Plus uses City and Employee Codes in the same way, saving you loads of typing and getting you home on time (or early).
When
you add invoices, print bills, and make payments, you'll be
automatically creating a ledger of transactional activity for each work
site, in addition to automatically updating Calendar.
Transactions
you enter display chronologically in the infinitely scrollable 10
line transaction window for each of your customers.
Your job is simple - let EasyRoute Plus know about the order when it gets sold, use EasyRoute Plus
to change the status of the invoice from scheduled to done (you simply
"complete" it), enter a payment or bill for the work by printing an
invoice, fax, email or PDF. You'll
be able to immediately display your customers' information, schedule
new work, produce work orders (or invoices) and bills (or statements)
and reports that are 100% accurate.
Using EasyRoute Plus in an active dispatch environment automatically creates a real-time database of accurate up-to-the-minute information.
You'll
automatically become more organized because you'll be using a
single system to keep track of things, rather than multiple
difficult to maintain disjointed computer or paper systems you
currently wrestle with. To help you see how this works, the following features and how they are used are described below:
Calendar Calendar watches transaction activity from a distance. There's no need to create entries here - in fact you can't!
Calendar
is a powerful display of your currently scheduled jobs and appointments
that are automatically created as you use the program.
Calendar is available anywhere you happen to be within EasyRoute Plus.
From Calendar, you can: Determine the best date, time, and worker for your incoming estimates, appointments, and jobs;
Print work orders, invoices, or route reports to give to your workers;
Change appointment dates, times, and workers;
Complete appointments. Query Based Output
A query is a set of criteria (questions and responses) you create
(using a simple fill in the blanks format) that either qualifies or
disqualifies customers based on the criteria in the query.
Each
query has a name, a set of criteria questions and responses, and an
output mode. If a customer matches your query, then it qualifies.
A
simple query might contain criteria that finds customers in a certain
city or territory who have not had a particular service (or product)
recently. A more complex query might involve many things, all under your control.
Imagine
how long it would take you to locate just those invoices in June two
years ago involving a service or product you sold that needs a service
call, filter, etc., excluding those customers who are already scheduled
for a service call, filter, etc., excluding those customers who have
recently received a service call, filter, etc., excluding customers who
declined your telemarketers offer within the last 60 days, further
limited to just certain zip codes.
With EasyRoute Plus, this kind of thing is a snap! And, you can output the results of the query four different ways. - Output
describes what happens to the results of the query. There are four
different ways to output the information about customers who match a
query;
- 2. Printed List (can be sorted and further filtered in many ways)
- 3. Export (creates a file on your HD)
- 4. Screen Display (great for telemarketing and mail marketing)

You can create as many queries as you want. The queries appear in a
scrollable list. You can add, delete, or modify the responses, output
and name of any query at any time.
Frequency Job Routing The
programs in the Frequency Job Routing menu allow you to locate, choose
and schedule "standing order" jobs that repeat but do not yet have a
schedule date. These jobs originate in repetitive service templates
called Frequency Templates that you manage easily from
each customer's profile.
The
Frequency Job Routing programs simply automate the choosing and exact
date scheduling process that would otherwise have to be done on a
customer by customer basis. Accounts Receivable This
menu offers programs that let you see an on-screen display of your
accounts receivable, print an aging report, create and maintain
aging-based billing texts that can print on your bills, and a program
that uses information you supply to search for all customers who owe
you money, then prints a bill (invoices or statements) for those
customers that match your settings. You'll be pressing one button to
bill your customers. No more end-of-month madness scrambling to get the
billing out. Instead, you'll stuff envelopes for 20 minutes and go for
a walk in the park with the sole intention of feeding the squirrels.
Activity Reports This
powerful program prints a configurable report that can tell you who
your best salesperson is. Or which worker did the most volume between
any range of dates. The report can print transactions or totals sorted
by who sold or did work, so you'll see the blow by blow. Sales and
worker commissions are automatically calculated. You can even produce
reports containing the total dollar amounts and counts for each
salesperson, worker, broken out by service rendered and materials/parts
used .
So, what won't EasyRoute Plus do? EasyRoute
Plus is designed to be the main customer service data information
system for your business. It contains all the customer's profiles,
service appointments, transactions, repeating contract work, notes,
billings, and payments. In addition, you can track employee hours and
wages (as well as sales and labor commissions) and calculate gross pay.
There are fine products such as QuickBooks and Peachtree that will
handle your checkbook, general ledger, financial statements, payroll,
etc., but they work very poorly when it comes to a service business.
So,
what do you do? Draw the line between expenses and income. Use
QuickBooks, Quicken or whatever for your checking account and
financial profit/loss statements and reports (expense side), use
EasyRoute Plus to manage your customer's data and transactions.
Let
EasyRoute Plus tell you (daily if you want) what your current A/R is,
on screen, all broken down by aging. Input this total into a dummy
invoice in your payables side accounting package to create an accurate
general ledger; refer to EasyRoute Plus for gross pay figures (any
range of dates, any employee, even if wages changed for different
employees in the middle of the range). then use your accounting system
to do payroll, etc. After all, your accounting system was not designed
for a service business.
Your
